The Challenge
Before Run Ready Payroll, Netchex relied on Payroll administrators had to navigate multiple screens and repeat the same workflows across several companies during a single payroll run. Critical issues such as missing timecards, tax problems, benefit changes, and employee updates were scattered across different areas of the platform and had to be reviewed company by company. This fragmented experience made it difficult to understand overall payroll readiness, increased the risk of errors, and turned payroll into a time consuming process that often took an entire day to complete.
The Design Solutions
I designed Run Ready Payroll as a centralized, multi company workspace that organizes payroll into two primary levels: scheduled payroll runs and not scheduled payroll runs. By default, the experience opens to the next upcoming scheduled payroll whether it is weekly, biweekly, semi monthly, or monthly and includes a countdown timer showing when payroll should be completed to ensure employees are paid on time.
Within each scheduled payroll run, the dashboard is organized into three clear sections. Outstanding Items highlights issues that should be resolved to ensure payroll accuracy while still allowing admins to proceed if needed. A progress bar reflects how close the payroll run is to being fully accurate based on resolved items, making it easy to spot trends across companies or employees who consistently fall behind on approvals or time entry. Additional Information surfaces non blocking updates such as employee changes, while Import and Export consolidates third party data like time and expenses. Together, these elements transform payroll from an all day, repetitive task into a focused and efficient workflow.

As a UX/UI designer, I crafted a cohesive dashboard that aggregates payroll readiness data across multiple companies. By incorporating a progress bar and compliance checks, I ensured that users can quickly understand the overall status and identify outstanding tasks, making it easier to manage compliance and deadlines.

I designed an expandable interface that allows users to drill down into individual companies. This approach provides detailed views of outstanding items, such as missing punches or compliance forms, and offers actionable steps to resolve them. This ensures that payroll managers can efficiently address issues at a granular level.

From a design perspective, I focused on making compliance management intuitive and actionable. Each outstanding item, like missing punches or incomplete forms, is clearly presented with suggested actions. This design ensures that users can quickly resolve issues, maintain compliance, and keep payroll processes running smoothly.
4. Informational Insights
Empowering Payroll Managers with Data
I designed detailed informational slide-outs to give payroll managers quick access to critical data, such as employee counts and direct deposit statuses. This design choice helps streamline the management process, enabling quick decision-making and efficient payroll operations.
The Results
The final implementation of Run Ready Payroll saved payroll administrators a significant amount of time. What once required an entire day to process a single company could now be completed for multiple companies in under an hour. By centralizing visibility and guiding admins toward accuracy without blocking progress, the experience reduced errors, shortened payroll cycles, and gave teams greater confidence in every payroll run.
